The German Academic Exchange Service (the “DAAD”) and the Embassy of the Federal Republic of Germany in Canada (the “German Embassy”) value our visitors’ private information and understands the need for security and trust surrounding such information. The following policy outlines the ways in which we collect, store and use personally identifiable information in providing our products and services. Except for very limited exceptions further described in the remainder of this Privacy Policy, we do not share any personally identifiable information with third parties.

Information Collection and Use

DAAD and German Embassy are sole owners of the information collected on this site. We will not sell, share or rent this information to others in ways different from what is disclosed in this statement. DAAD collects personally identifiable information from our users at several different points on our website.

Events

We request information from the user on our event sign-up form. Here, a user must provide personally identifiable information (such as name and physical and/or email address). If an event is cancelled or re-scheduled, this personally identifiable information may be used to get in touch with the user.

Log Files

We may use IP addresses to analyze trends, administer the site, and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information.

Sharing

We share certain personally identifiable information obtained from our Events sign-up form, such as name and affiliation, with those who attend the event in question.

Protection of Underage Persons

Persons under the age of 13 may not submit data to us without the permission of their parents or legal guardians. We do not request personal data from minors. We do not knowingly collect such data and do not forward it to third parties.

Legal Disclaimer

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order or legal process served DAAD or German Embassy.

Contents of external websites on which we are linking direct or indirect (through „hyperlinks“ or „deeplinks“) are beyond our responsibility and are not adopted as our own content. When the links were published, we didn’t have knowledge of any illegal activities or contents on these websites. Since we do not have any control on the contents of these websites, we distance ourselves from all contents of all linked websites, which were updated after the setting of the links. For all contents and especially damages, resulting of the use of the linked websites, only the provider of these linked websites can be held liable. If we receive knowledge of illegal contents on these linked websites, we will delete the according links. This privacy statement applies solely to information collected by the SO German! Si Allmand! website.

All contents of this website, especially texts, pictures, images, graphical presentations, music, trademarks, brands and so forth, are subject to copyright laws. The use, reproduction and so on are subject to the individual rights of the respective owner of the copyright or administrator of these rights. Contents of the website

SO German has no control over content and statements prepared and made accessible by Partner Organizations (“Users”) or third parties on the So German Website. Such content is published online automatically and So German cannot always monitor all of such content immediately. The operator of the website So German can therefore not be responsible for the correctness, security and legality of the contents provided by its Users or third parties. The operator of So German is entitled at any time to delete or reject certain content from Users or third parties. This applies in particular for content which violates the eligibility requirements. The operator of So German are furthermore entitled to check, change, save and forward to third parties any content uploaded by Users or third parties, if this is required by law or if it is regarded as a duty and is necessary and legally allowed.

Newsletter

If a user wishes to subscribe to our newsletter, we ask for personally identifiable information such as name and email address.

Communications from the Site

Based upon the personally identifiable information you provide us, when you sign up for an event or our electronic newsletters, we may store information that we collect through log files and other technologies with third party contractors. Users will be able to unsubscribe from the newsletter at anytime

Security

This website takes every commercially reasonable precaution to protect our users’ information. When users submit personally identifiable information via the website, we take reasonable precautions to protect user-information both online and off-line. When our event sign up form asks users to enter personally identifiable information, that information is sent via an encrypted channel using the secure sockets layer protocol (SSL).

While we use the SSL protocol to protect personally identifiable information online, we also take reasonable precautions to protect user-information off-line. All of our users’ information, not just the personally identifiable information mentioned above, is restricted to our offices. Only employees who need the information to perform a specific job are granted access to personally identifiable information. Furthermore, all employees are kept up-to-date on our security and privacy practices.

Notification of Changes

If we decide to change our privacy policy, we will post those changes on our homepage so our users are always aware of what information we collect, how we use it, and under which circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by email. Users will have a choice as to whether or not we use their information in this different manner.

Statement regarding the collation and use of personal data
Each time a user accesses the Internet content of the Federal Foreign Office or calls up a file, data on this activity is temporarily stored and processed in a log file.

Each item of data is anonymised before storage by changing the IP address.

Specifically, the following data is stored each time content is accessed:

  • anonymised IP address,
  • date and time,
  • accessed page/name of accessed file,
  • amount of data transmitted,
  • notification whether the process was successful.

This data is evaluated solely for statistical and quality‑related purposes and is subsequently deleted.

It is not used for other purposes or transferred to third parties.

Accessing individual pages generates so‑called transient cookies to facilitate navigation. These session cookies contain no personal data and are erased at the end of the session. Technology such as Java applets and activeX controls which allows user access behaviour to be monitored is not used.

Postal and email addresses supplied in connection with enquiries or requests for information material are used solely for correspondence and shipping respectively.
